Terms and Conditions

Effective 2025-2026

Your Acceptance

Thank you for choosing to use Solas rooms and services.

  • This agreement is between Solas and the person (you) or company agreeing to these terms.

  • You warrant that you are over the age of eighteen and have the power and authority to enter and perform your obligations under this agreement. If you enter this agreement on behalf of your company, then throughout the remainder of this agreement, 'you' means your company, and you warrants that you are properly authorised to bind your company to this agreement.

  • When you book your room, you are automatically agreeing to the terms and conditions contained within this document. If you do not agree to the agreement, please do not do not proceed with the booking.

  • The agreement becomes binding on the date and time that Solas receives the booking, and by becoming a registered user via our online booking system.

  • Solas may suspend or terminate this agreement immediately without providing notice if you are in breach of this agreement, or if you have failed to pay for room rental or any other services.

  • You may also terminate this agreement at any time by emailing solas.loughton@gmail.com with your termination request. If you have outstanding balances for services, the agreement will not be terminated until you have paid in full.           

  • Room rental charges are for the therapy room and the use of its furniture during the booking time only. (You) will need to supply your own specialist equipment if needed. Solas cannot be held responsible for any loss or damage of any such items.

  • Whilst Solas will endeavour to offer the room booked, Solas has the right to change the room allocation for a session if necessary. This will always be communicated to (you) before the session starts.

Opening Hours & Cancellations

  • Opening Hours are Monday to Sunday 7:00am – 10:00pm; Anything outside of these hours must be approved by Solas Wellbeing. 

  • Solas requires a minimum of 48 hours notice for room cancellations. This also includes any room amendments to the time booked, room booked, or date booked.

  • Any changes/cancellation to a booking with less than 48 hours remaining will result in the full room rate being charged. Failure to cancel a booking with 48 hours or less remaining will also result in the full room rate being charged.

  • Cancellation of a booking with between 48 hours and 72 hours remaining will be charged at 50% of the original room rate paid. This also includes any room amendments to the time booked, room booked, or date booked. 50% of the cost of the room will be refunded back to you. 

  • Should there be any extenuating circumstances that prevents you from honouring a booking, you can email solas.loughton@gmail.com in the first instance to inform us. We will consider the details of each cancellation and refunds on a case by case basis.

  • Amendments to the time booked, room booked, or date booked, including any cancellation with more than 72 hours remaining, will be refunded back to you in full. Should you accrue 3 changes/cancellations during the calendar month, it will result in the full room rate being charged on the third change/cancellation,

  • All cancellations and subsequent refunds will be subject to a booking fee of £1.00 being charged,    

  • Please use the https://www.solasloughton.com/book-online link to book or cancel rooms.Text messages, any form of social media, or verbal communication will not be accepted as a form of booking/cancellation/change.

Licences, Insurance & Qualifications/Professional Memberships

  

  • You are personally responsible for the safe provision of your services. This includes, but is not limited to, the arrangement and maintenance of all necessary public liability and professional indemnity insurances and professional registrations, or any other such policy to cover your work at Solas Wellbeing.

  • Copies must be sent to Solas at the start of this agreement once you book online. If your public liability, professional indemnity insurances and registrations are renewed or updated, new copies must be sent to Solas.

  • Solas reserves the right to refuse room rental to anyone who does not hold the appropriate licences, qualifications or insurances.

  • Only enter and book via the online booking platform if you have the required licences, insurance, qualifications, professional memberships, and once the registration forms have been completed. Any booking made without the necessary documentation required will be subject to the cancellation policy above. 

Use Of Rooms 

  • Any services must be consistent with those stated in your registration. Any additional services must be first agreed in writing by Solas Wellbeing. 

  • Entrance to the building is from 236-238 High Road Loughton, and access to the main suite on the 1st floor will be via a personal access code you will be provided once you have reserved your booking and once your documentation has been approved. 

  • You agree that you will not seek to enter the room before the designated start time of the session, or likewise you will vacate the room before or at the agreed finishing time.

  • At the end of each session, you agree to leave the room in a neat and tidy state and by removing all equipment and belongings.

  • Solas reserves the right to change equipment, decoration, furniture or fittings in the rooms where necessary. If renovation work to the room is required. Where possible, four weeks’ notice will be given.

  • You agree to pay in full for any damages caused during the session. This applies to equipment, fittings and fixtures. Room audits and checks between sessions may be conducted by Solas staff.

  • Rooms can only be used by you, who completed the room rental booking. Rooms cannot be sub-let, assigned or shared to anyone else other than you who made the original room booking.

Payment     

  • All room rental payments must be paid in advance on the link provided https://www.solasloughton.com/book-online

  • Solas takes no responsibility for payments made between you and your client(s).  

  • Referrals made by Solas to you will be subject to a one-off £30 fee, which will be invoiced to you ahead of your booking. The usual room hire fee/cancellation policy applies. 

Reception Facilities and Services

  • Reception opening times are Monday to Sunday 7:00am – 10:00pm; The reception waiting room and kitchen are provided at Solas Wellbeing’s discretion.

  • If you are the last to leave the Solas Wellbeing building, and there is no receptionist available, you assume responsibility for locking all doors, windows and turning off all equipment and lighting.      

Promotion and Marketing

  • You will be solely responsible for marketing your own business. Whilst we endeavour to list your’ services, literature and website, Solas does not take any responsibility for marketing your services.

  • Solas will remove any business cards, leaflets or web listing if you have not purchased room rental in the last three months or if your agreement has been terminated either by you or by the centre management.

  • If you desire, we can include your profile onto our website once you first rent your room. We will ask for your photograph, a short biopic, and a description of your services. It’s your own responsibility to inform us of any changes or updates to your details provided.   

  • Referrals we make you and that are received via Solas platforms are subject to a one-off £30 referral fee, which you will be invoiced for prior to the booking. The normal booking fee /cancellation policy is also applicable. 

  • Solas Wellbeing’s address should not be used for any deliveries or correspondence, mail or parcels of any kind, unless prior approval is granted by, and at the sole discretion of Solas Wellbeing management.

Additional Services

  • Solas Wellbeing offers you additional services which are not contractual obligations, and are provided at Solas; discretion. The continuation of these services are not guaranteed and can be removed at any time. 

  • It is your responsibility to restock your own business cards and leaflets displayed at the centre.

  • When Solas attends corporate and/promotional events, the centre may ask a few professionals to also attend if they wish. This is a chance to offer free taster sessions and potential for gaining new clients.
